FOI organisation manual- As presented at the last FOI meeting

Have you thought more about putting 'pen to paper' for what needs to be prepared for next year? I would like to help with organising a 'festival mangement manual/ check list' as presented at the FOI meeting.

If we think of ALL the things that worked well and ALL the things that didnt, this will save alot of time next year. However, it will take some time to do this initially. Remember that nothing is too small when thinking about what could be improved-get the small things into order, and it will also make the big things easier to manage. Small things are often the biggest time wasters.

For ex. when I arrived at the prasadam tent- nothing was set up, nor was there an evident 'table plan' which would have saved time and effort. I saw around 4-5 helpers discussing these arrangements and some preps changed position at least two times, in order to find out what worked best. If we think along these constructive lines, we can get to the point of simply handing the appropriate list/table arrangement (this works for all tables), to the devotee in charge of eg. prasadam tent . The tent organiser can then check a list for before he/she leaves the temple and one for when he/she gets there. There will be fewer questions and the devotee can always hand over (delegate) to another person to set up things on the table etc etc.

This of course is the same for kitchen duties (meal plan- recipes with correct quantities- pots/ spoons to use etc.) as well as eg. how many helpers (with a spot to put a name in) so the cook is well aware of what he is to cook, how long it will take, when it is to be ready by and how many (who) can help him/ her with cut-up.

If I can get feedback (pref.written and sent in a file) I can begin work on it. I am in Copenhagen until Jan and will be very busy this coming half year, so I would very much like to start asap, and thereby work a little on it, regularly.

Tejasvi Krsna pr, if I can get some stuff from you before you leave for india, I can then begin and find out if what I have to offer is usable for your purposes etc. I will be working also with Kesava Priya on her org. lists.

With such a guide (which can be annually amended), if the festival organisation ever need to be taken over by others- as we have already experienced- this will make things easier.The new devotees never need to start totally from scratch and will know who to contact, when and what to do, when. It can eventually be amended locally and used by other FOI organisers in Sweden and perhaps Norway if they are interested.

Heres my checklist for vegetarisk Lørdag which will be more or less the same as for FOI, just needs some additions and mods.

Checklist
 permission
 tents – with sidewalls and roof
 concrete blocks for tying down the tents.
 poster stand with eight posters
 folding table
 cover for table
 carpet
 10 cushions
 black plastic garbage bags, minimum four and string to tie them.
 two donation boxes + donation signs
 invitations for free cooking course
 invitations for temple
 books: fx Bhagavad-gita DK and ENG, 8 medium books and 50 each of two small books.
 Other items: Japa-malas and beadbags, khantimalas, incense, t-shirts.
 Change for books and other items
 sign for books, 'buy a book for 20kr and support the festival'
 All the festival signs
 harmonium
 mridanga
 karatalas
 prasadam
 plates, cups, spoons and napkins, 1000 of each
 3 green milk boxes (for elevating the pots from the ground, enabling easy serving)
* bucket of water and cloth for cleaning.
*organizers should have charged and working mobile phones.

Prasadam needs to be cooked by 14:00 latest. If cooking crew wants to participate in the ratha-yatra the prasadam should be ready at 12:00.

This year we prepared about 20kg rice and 20kg mung dal, halava and drink I dont have the figure. This makes for 2000+ plates of prasadam.

Participants and helpers for Ratha-yatra need to be at Kongens Nytorv 12:30, with decorations, flowers, sweets for handout, music instruments (at least one mridanga, one pair of whompers and three pairs of karatalas).

The devotee leading the procession should have a flourescent vest and should have the police permission and route outline with him.

I received a letter from Mahadyuti pr who gave us a contact with a devotee who you may already know in London. He organises Ratha Yatra there. He has a manual he uses. Perhaps we can get a copy, check it out. Titiksu dasa, do you know him?
Its an excellent idea to have a manual and a check list for such important and big events. Thank you Lalita Gopinath Prabhu for contacting some devotees in the UK to share their manuals with us.

I am sure Kesava Priya can help us get the contact details of some devotees in the US.

I can ask Bhakta Konrad if he can help us with some similar details of the Polish festivals.

This is a very good and very useful endeavour, each year we used to make some kind of check lists/ 'to do' lists and send to each other as the agenda of the forthcoming meeting. However, generally, only about a month or two before the festival :-D

we can always learn from others and most likely, save time on preparing such things ourselves if we get some copies from other devotees that they have painstakingly made. No harm in checking out, for sure.
